The ideal candidate is highly organized, proactive, polished, and resourceful, with a natural ability to anticipate needs, solve problems, and thrive in a role that requires managing multiple priorities simultaneously.

What You'll Do

Executive Support

Calendar & Schedule Management (Primary Focus)

  • Coordinate internal and external meetings, calls, appointments, and business engagements.
  • Anticipate scheduling conflicts and proactively adjust priorities.
  • Prepare meeting materials, reminders, and logistical details to ensure seamless execution.
  • Serve as a gatekeeper while maintaining a high level of responsiveness and professionalism.

Travel Coordination

  • Manage domestic and international travel arrangements.
  • Create detailed itineraries and oversee all travel logistics.
  • Coordinate flights, accommodations, ground transportation, and reservations.
  • Handle last-minute schedule changes and travel disruptions with ease.

Administrative & Operational Support

  • Process expense reports and maintain organized records.
  • Draft correspondence and prepare documents as needed.
  • Assist with special projects and business initiatives.
  • Support day-to-day operational needs and contribute to office efficiency.

Executive Relationship Management

  • Attend meetings when appropriate, capture notes, and track follow-up items.
  • Assist with stakeholder communications and relationship management.
  • Gain exposure to various aspects of the firm's business operations and strategic initiatives.

Personal Assistant Responsibilities

  • Manage personal appointments, reservations, and scheduling.
  • Coordinate personal travel and logistics.
  • Assist with errands, deliveries, and administrative personal tasks.
  • Support special occasions, events, and lifestyle-related needs as requested.

Office & Team Support

  • Welcome visitors and create a professional, hospitable office experience.
  • Coordinate office supplies, pantry inventory, and workplace needs.
  • Assist with company events, celebrations, and employee engagement initiatives.
  • Provide occasional support to other senior leaders when needed.
  • Contribute to a positive, team-oriented office culture.

Qualifications

  • Bachelor's degree required.
  • Prior experience supporting senior executives, founders, entrepreneurs, or high-net-worth individuals strongly preferred.
  • Demonstrated career stability and professional commitment.
  • Exceptional organizational, multitasking, and time-management skills.
  • Outstanding written and verbal communication abilities.
  • Strong discretion and ability to handle confidential information.
  • Proficiency with Microsoft Office, Google Workspace, and modern business technologies.
  • Comfortable leveraging technology and AI tools to improve efficiency and productivity.

The Ideal Candidate

You are a highly polished, service-oriented professional who enjoys being the person others can rely on. You take initiative, think several steps ahead, and find satisfaction in creating order, solving problems, and ensuring nothing falls through the cracks.

You are equally comfortable coordinating complex business logistics, managing personal priorities, interacting with executives and external stakeholders, and jumping in wherever needed to support the success of the team.

This role offers significant exposure to senior leadership and the opportunity to become a trusted partner within a growing and entrepreneurial organization.
